I use Google Calendar every single day of 2025

and I don't think I would have hit any of my goals without it.

What most people don't realize is that Google Calendar can actually be super aesthetic and fully customized to fit your life, not just for work meetings.

I've been getting so many questions on how I get my calendar so aesthetic, how I use Google Calendar, planning systems, and today I'm gonna show you exactly,

step-by-step, how I use it and how I make it look so Pinterest-worthy.

If you're an aspiring content creator or current content creator, this video is also going to give you a little bit of an insight on how I plan out my content.

That is going to be a portion of this video as well.

And I'm also going to do a real plan with me session so you can really see how I use it.

I just thought that would be so cozy and fun.

Even if you aren't a Google Calendar user, we can plan together.

Grab a cozy drink, get your notes ready, and let's get into it.

Is this distracting?

My cat has joined the chat.

Here's my email, and here's how you would find your Google Calendar

and you click on this grid icon that's next to your profile icon

and you have all of the Google apps essentially and then it just opens up to your calendar.

Your phone, you can download the Google Calendar app in the app store so it has its own app.

You don't have to go to the Gmail app and do it that way.

Here is my monthly view of December.

December is a completely closed out month

so I thought I would show you guys kind of what it looks like from a month glance.

This is kind of stressing me out.

I actually hardly ever use the month view.

I think the only time I use a month view is just to see dates.

Day view, this is kind of what that looks like.

I also hardly ever use the day view just

because I need to be able to look a few days in advance as well.

I'm not someone that just lives in the present and so that's why I always use the week view.

This is typically what I'm looking at all the time pretty much and this is exactly how I plan as well.

So I'm also going to go into more of a tour of my calendar.

Over here on the left this is also important.

Also you can see the month view here as well which is so so nice.

You don't have to always go here to see the month.

It's always going to be here.

I never use this button either because you can just tap into the day and do essentially the same things here.

All of my calendars.

Think of calendars as categories and so here are all of my categories

that I use for my life just for extra context.

For anyone that doesn't know, I do social media for a living.

So content creation, brand deals, YouTube, Instagram, TikTok.

I'm also a small business owner.

I have a Palmer Clay shop.

So short form content.

I like to separate my short form content with my YouTube content just

because those are two completely different sectors of my job.

And then shop, that's for my small business.

And then admin, which I honestly don't really use that much anymore, but this is essentially just when I have heads down time and I'm doing not necessarily editing,

but I'm doing emails.

Collabs, I like to separate my brand deals from my content creation

because that's also its own sector and I tend to have a lot of tasks for.

While a lot of these are essentially to-dos.

To-dos in my mind are personal to-dos.

Like they're not related to my job.

They're related to personal life.

And then I have outings.

This is a big one as well.

I love having this its own separate like bright color

because it is important that I know

that okay I'm not going to be home and

that those periods of times or that travel plans that we out of town.

Personal I also you don't really use.

And then reminders.

This is a big one.

This one's pretty obvious why it's this like pink red color.

I mean, hello, it's like a big deal.

Try not to abuse this feature too much.

I try to really keep this for like, this is really important at this specific time.

Don't miss it.

And the last one is editing.

I also realized I stopped using this.

They're on my calendar.

So that's like a tour of what my life essentially looks like and the color coding system.

We are at a blank calendar.

If you've never used Google Calendar before, this is what you're going to see.

Basically, I thought it would be really helpful to kind of go through the features of Google Calendar, but kind of as I use them.

Now let's get into actually planning.

Google Calendar doesn't let you delete some of these for some reason.

I don't know why, but they just kind of are there

and I just leave them unchecked so they are not visible on my calendar.

This one though, you're allowed to at least rename.

I would write down all of your areas of your life on how you would plan

and categorize everything and then once you have

that written down then come back to Google Calendar and now you can make all of your categories.

So what I do is I put an emoji

and Google Calendar kind of alphabetically organizes it but that's not exactly how I wanted it to be displayed.

So I put numbers that way it stays chronologically organized so I'll just put one and then I'll put an emoji.

I literally just go to Apple emojis copy paste

and then this first link right here

and it has all of the Apple emojis and

if you type in a keyword like cloud it'll come up

and then you click on it copy and it's safe to use that link and then paste it and there you go.

You have your Apple emoji there.

That's all I do and then this plus button you add calendars

and then create new calendar and then you go ahead and do

that for all of your tasks once you have all of

your tasks it should look something like this you just obviously won't have these colors

so we're going to do that together

so you open up your Pinterest what mine looks like

and try try not to get distracted

100

and I type in google calendar color scheme

101

and then you should see a lot of these pins come up

102

that have these like codes underneath it those are the ones you want

103

so this is the one that actually came up on my pinterest feed one day

104

and i saved it you're a macho girly there's literally matcha themes

105

so i would find probably multiple this one's even really cute

106

too this is my favorite step by far a blue calendar so

107

and it's completely free you know you can completely copy these

108

codes these codes are not owned by these people fear not

109

oh my god ocean milk for my coastal granddaughter girlies there's

110

blue aesthetics i don't know why my pinterest is being weird right now astel blue

111

that is so cute guys there's

112

so many color palettes out there for whatever your aesthetic is

113

remember i was talking about those codes earlier now is where we're going to use these codes

114

so go back to your calendar and go to your first calendar

115

and do you see how all these colors appear see we're gonna add a new custom color

116

and we are going to put that code right here 4998 you want

117

that hashtag don't forget at that hashtag and then save.

118

So make sure that calendar is checked on.

119

If it's not checked on, you just won't see it.

120

And now when you add a task, it'll be that color that you add.

121

So I would go ahead and do that for all of your calendars.

122

Remember, if you write on the colors, you can just find more pins, find some that are close to that current palette that you're looking for, or honestly, you have free will, you don't have to listen to me.

123

Do whatever you want there, because I know there are not enough codes in one pin usually for the amount of to-dos

124

and responsibilities we have in life.

125

So go ahead, find all your colors and make that palette aesthetic.

126

I also have another tool I want to share with you guys if you don't want to do the Pinterest route, colores.co.

127

This is a website where completely free to use, you basically just, you can generate your own color palettes

128

and they come with that handy dandy code that we need

129

so it's really fun even though this is actually really cute you hit the space bar

130

and then it'll generate new color palettes for you

131

if you're like oh my god wait i like this green color you toggle lock the colors

132

that you like continue hitting that space bar

133

and it'll give you more colors toggle lock until you find another color you like

134

and so on and so forth copy

135

that code in to what we had just done for Google Calendar with that hashtag and then you're good.

136

So now that you have all of your color, guys, you've like literally done all the work.

137

Your calendar is officially set up now and you can start planning.

138

Once you start living your life and start using it, after a few weeks you'll get a sense of like what categories are important to you.

139

You can change your categories because you're really going to learn what makes sense for you.

140

It's not going to be perfect from the get-go.

141

Make sure all of your calendars are checked on.

142

If you're using this for the first time, calendar would still look blank and that is normal.

143

I love this button too.

144

This today button I use all the time jumps to the current day you're in.

145

It's so great.

146

So let's go to a blank week.

147

Actually, I clearly I plan in advance, but here is the next week that I am planning for.

148

So I do have some stuff in, but this is just like my pre-planned videos and I come up with random things the week before.

149

So I'll add them in.

150

That's one of my favorite things about Google Calendar is it's

151

so easy to plan for the future and put reminders down for whatever day time you're looking for.

152

Let's say you're planning all you're going to do is click

153

a spot on the day you're planning for write in the task name

154

and after you wrote in the task name make sure you're in this event and not task.

155

I know that's like really confusing the task can't be like

156

you're limited that's the literal only reason why everything is quote unquote an event

157

because i like to keep things color coded to the colors

158

i have picked then here is where you can actually change the category

159

so all of your categories will appear

160

and you can also change the time here the day as well

161

if you want and then

162

if you change it to wednesday guess what it'll pop up on wednesday

163

but you can literally click anywhere

164

and be able to customize what day what time what category the actual task is collapse

165

and then you can estimate how long it's gonna take

166

and then save also another cool feature is you can drag so like

167

if you're like oh wait that's actually the wrong time it's

168

supposed to be at one o'clock put it to one

169

and it's actually one to three one to three now

170

so simple you can also add tasks on top of tasks

171

this is an example let's say this one is a reminder

172

and it can go directly on top

173

so reoccurring tasks this is a reoccurring task for you

174

if you have like a reminder

175

that you want you know every friday at 2 p.m you can do

176

that in google calendar and let me quickly show you how write what your reoccurring task is

177

and then you make sure you're in the right category for it

178

and then you set the time you go to more options here as well you'll see repeat options

179

and then you can do custom options on monday wednesday friday

180

and then ends never done save

181

and there you go it comes up as you can see

182

right there monday wednesday friday until eternity i will say though

183

if you edit a reoccurring task

184

so for example let's say i have my post idea

185

and then you save it it is going to ask you edit reoccurring event just this one

186

or this and following or all of them

187

so I always change it to this event

188

and then as you can see it only changed that specific one and not all of my reoccurring ones.

189

So you have learned everything that I do and how I plan all aspects of my life.

190

Make sure to download that mobile app because I use

191

that all the time when you're on the go and you have something comes up and you have something to do.

192

Your phone is usually likely always with you so you can just add it in the mobile app.

193

It's so simple.

194

You do it the same way you would do it on a computer, except, you know, your mouse is your finger and you just tap it

195

and you change the settings you need to and you're good to go.

196

Well, my two problems with physical planners were that it's hard to always have a physical planner with you all the time.

197

Like a lot of times my physical planner would stay at home

198

or would stay at work when I used to work a nine to five.

199

And I would think of things I need to do when I'm like out with friends or something.

200

And then I'm like, damn, I don't have my planner.

201

And google calendar once you add it one place it syncs everywhere else

202

so if you're out with your friends

203

and you think of something to do add it using the mobile app

204

and it'll also add to your calendar

205

when you open it up on your computer it has literally saved my life

206

and it takes a lot of stress out of your brain

207

and your body and mind from having to remember everything also the time blocking it is

208

so easy first of all to just like plan two years from now

209

if you want to which is so great you can't really do

210

that with physical planners you know they end at some point you have all of your times listed here

211

and it's just creme de la creme you're not just like

212

following the to-do list you can actually put what time you're doing what

213

and once you plan the entire week out i just think

214

it's just like how can you not want to try it out for yourself after all of

215

that you know that was my little spiel on google calendar

216

and now let's get into the plan with me before we start a quick word from our sponsor okay

217

so you guys know i'm constantly upgrading little corners of my

218

apartment the one thing i didn't realize i desperately needed was a proper desk chair

219

so so I'm partnering with Calami to share their new Atlas chair, which honestly might be the best chair you can get under $300.

220

I started by assembling it myself, and it was actually super straightforward.

221

Every piece is labeled, the tools are included, and it took me less than 20 minutes, which is saying a lot because I normally procrastinate anything that involves screws.

222

Once it was set up, the first thing I noticed was the support.

223

The Atlas has this breathable mesh back, adjustable lumbar support, and a really plush seat cushion.

224

It feels sturdy but still soft, like the perfect balance for long editing days.

225

I also love that the headrest and armrest are adjustable so you can customize it exactly how you like to sit.

226

And the tilt function is chef's kiss.

227

I didn't realize how much I was leaning forward before until I sat in this.

228

So if you're looking for a comfortable ergonomic upgrade without spending a fortune, the Atlas chair by Kalami is truly one of the best desk chairs under $300.

229

I've been using it every day and it makes my workspace feel so much more comfortable and put together.

230

I'll have the link below if you want to check it out.

231

Thank you, Kalami, for sponsoring a portion of today's video.

232

So for planning, the other thing that I use is my notes app or physical notepad.

233

That's always really nice to have, especially on your Sunday planning sessions where it's like, okay, I'm brain dumping everything that I need to do, everywhere that I need to be, a grocery list.

234

I use the notes app on my phone.

235

Again, like things with me everywhere and not just, you know, at my desk at home.

236

Do your brain dumping session on all of that.

237

And once you have that, you can take that and organize it to each category.

238

So I'm going to go ahead and do that off camera and then get back to you guys.

239

okay hi guys i'm back i spent some time i finished

240

my notes app a lot of times things come to me

241

though as i'm planning to i actually end up adding

242

and changing my planner every single day i spend i mean i'm not like meticulously changing it like crazy usually

243

when i plan on sundays for the most part a really good overview

244

and a lot of that tends to happen i think

245

that sunday planning session

246

or whatever the first day of the week is for you personally in your life some people that's monday

247

but that initial first planning session for the week ahead does

248

so much and is so so crucial for me anyway

249

so i'm just going to go through all of the things

250

that i wrote down on my notes and then transfer

251

that to my calendar and then anything else

252

that comes up make sure i add

253

that in to you usually the first thing

254

that i plan is my short form content stuff i'll write in like details of the video here and

255

if you're linking anything you can link things there as well

256

this is an example for this video this is how i

257

plan this video this is how i plan my content as far as like the details of what i'm filming

258

and what needs to be in the content i also do on google calendar

259

and it's so nice i just love this i love this

260

so much it looks so cohesive and you can just go in

261

and change it so this is what it looks like in the actual event

262

if you are curious and you can go ahead change it add things whatever okay

263

so that's kind of what i have for my content that's

264

essentially how i plan my content to sum it up i

265

have a reoccurring task for whenever i'm posting videos like for

266

short form content i'm always posting at 12 p.m 12 30

267

and then i brain dump my ideas on my notes app

268

and then i add an interview calendar the exact video

269

that i plan to post and then within

270

that as well you're able to type in like notes for

271

that video if you have it and for content ideas that's a whole video in

272

and itself so i'm gonna finish up planning just

273

because i'm taking forever doing this

274

and that's pretty much how i organize my life using google calendar

275

if you have any other questions definitely leave them down below i'm going to be responding to comments

276

and i want to help you guys out

277

because i don't use every single tool that google calendar has to offer

278

and no pressure you do not need to use every single tool there is

279

so much which i appreciate that google but i definitely don't need it

280

so if there's something that you're curious about

281

and i didn't talk about in the video definitely leave it down below

282

and i'm happy to answer and just a reminder

283

that your google calendar is not meant to be stressful it's

284

meant to be cozy it's meant to be something you look

285

forward to doing every morning it's supposed to make your life

286

so much easier and and be a place for you to write down everything

287

so you don't have to keep it up in your head definitely give it a try on making it aesthetic, picking a color palette that you like.

288

Trust that that alone will motivate you so much more

289

and you'll always remember to look at your planner because it's so pretty.

290

And let me know in the comments down below if you plan like this.

291

I would love to know.
