1
Hello everyone and welcome back to 5 -Minute English Practice, the podcast that helps you sound more natural and confident in everyday English.
2
I'm Jessica, your host.
3
Today we're talking about something that can really make a difference at work, or even in friendships, giving feedback the right way.
4
The kind that actually helps people improve instead of making great guest with us today.
5
Kathy is a team leader who spent years coaching people and running workshops on communication skills.
6
She's seen what works and what definitely doesn't.
7
Kathy, welcome to the show.
8
Thanks so much for having me, Jessica.
9
I'm happy to be here.
10
So let's jump right in.
11
A lot of us know we should give feedback, but it's easy to get it wrong and end up with awkward silence or hurt feelings.
12
What's the biggest mistake people make when they try to give feedback?
13
Oh, hands down, it's jumping straight into criticism without any warmth first.
14
People here, you need to fix this.
15
and their brain immediately goes into defense mode.
16
So you said if you start by recognizing what's already good, the whole conversation changes.
17
Exactly.
18
Like instead of opening with, "Your report was late again," you might say something like,
19
Hey, I really appreciate how much detail you always put into these reports.
20
The client loved the data you pulled together last time.
21
Then you can gently move into the part that needs work.
22
That small shift makes such a difference.
23
And once you've built that positive bridge, how do you actually point out the issue without sounding harsh?
24
Keep it factual and focus on the effect.
25
I like saying things like: I noticed the document came in about two hours after we agreed,
26
and because of that the team had to rush the final review.
27
Or, some of the formatting was a bit inconsistent so it took extra time to make it look polished for the client.
28
You're not attacking the person.
29
You're just describing what happened and why it mattered.
30
I love that.
31
"It's so much calmer than you're always late," or, This looks messy.
32
Right.
33
And then I usually add a little forward -looking suggestion to keep it helpful, rather than just pointing fingers.
34
Something like: In the future, maybe we could set a quick 15 minute buffer before the deadline so there's time for a final check.
35
or What if we tried using the template's built -in styles to keep everything consistent?
36
turns the conversation into problem solving instead of blame.
37
That's such a smart way to frame it.
38
And how do you usually close the conversation so the person feels supported rather than judged?
39
I always try to end with genuine encouragement, maybe, Overall, I'm really impressed with the quality of your thinking.
40
I know the next version is going to be even stronger, or simply, Thanks for being open to this.
41
I really value what you bring to the team.
42
That last bit of positivity helps them walk away motivated instead of deflated.
43
Let's put it all together with a quick example.
44
Imagine I'm giving you feedback on a presentation you just gave to the team.
45
Go for it!
46
Okay.
47
Kathy?
48
First of all, your slides were super clear and the way you explained the budget numbers made it really easy to follow.
49
Great job there.
50
One thing I noticed was that we ran about 10 minutes over time, which meant we didn't get to all the Q &A.
51
It left a few people with questions they couldn't ask.
52
Next time, perhaps we could aim to leave a five -minute cushion at the end?
53
I think that would give everyone a chance to dig deeper.
54
Either way, the content was solid, and I'm confident the leadership team walked away with the clear picture.
55
Thanks again.
56
That felt very natural.
57
And honestly, I'd feel good after hearing that.
58
No defensiveness, just useful information and support.
59
Exactly.
60
The language stays professional, kind and focused on growth.
61
One last tip.
62
Timing and place matter a lot.
63
Do it soon, do it privately if it's constructive criticism.
64
and always invite their thoughts.
65
A simple "How do you feel that" went.
66
Or, is there anything you'd like to just next time turns it into a real two -way conversation.
67
Brilliant advice, Kathy.
68
Thank you so much for sharing your experience in these practical ways of phrasing things.
69
Listeners, try one or two of these approaches this week, even on something small, and see how the energy changes.
70
My pleasure, Jessica.
71
Thanks for having me.
72
That's all for today's episode.
73
If you found this helpful, share it with someone who might need better feedback conversations.
74
time, keep practicing your English every day.
75
Bye for now.
